1. Privacy Policy

In relationship with INP commercial services, our clients share personal information with us. Such information may include client’s name, address, telephone numbers, email address and any other personal details in connection with transactions entered into by the clients with us. We understand how important it is to protect our clients’ information. INP commercial services will collect and hold clients’ information for the purpose of:

Assisting us to provide you with the relevant product and/or service;

Letting the clients know about other products and/or services which might interest our client; or

Assisting us generally in managing our clients’ transactions with us.

INP commercial services takes all reasonable steps to ensure that the personal information we collect, use and disclose is accurate, complete and up-to-date. If you become aware of any errors in your information or you change your personal details such as your name, or address we ask you to contact us as soon as possible so that we may update our records.

INP commercial services also takes all reasonable steps to protect our clients’ information from misuse and loss and unauthorised access and disclosure. These steps include confidentiality obligations imposed on our employees and use of security measures for system access.

 

2. Health and Safety Policy

Conducting business in a responsible and sustainable manner is essential to the continued success of INP commercial services. This is supported by a strong commitment to safeguarding the health, safety and well-being of our employees and others who may be affected by our work activities.

INP commercial services aims to achieve zero harm in the workplace. INP commercial services’s primary responsibility is to minimise the risk of harm or injury to any person while conducting its business. We achieve this by making risk-based safety management a priority, which drives desired behaviours and therefore outcomes.

When carrying our industrial cleaning, INP commercial services ensures that safe work practices are followed by its staff and subcontractors. This includes residual current devices for electrical equipment, appropriate warning signs for work in progress, appropriate safety clothing or equipment.

INP commercial services is responsible for:

  • Providing and maintaining a work environment, equipment and systems which do not expose staff or subcontractors to hazards.
  • Reporting to clients any hazards on client premises which may adversely affect INP commercial services staff or subcontractors.
  • Providing information, training and supervision so that employees are not exposed to hazards while working.
  • Ensuring that only trained, experienced, suitably insured and equipped subcontractors undertake work on behalf of INP Solutions.
  • Consulting and co-operating with employees on occupational health and safety issues.
  • Provision of safety equipment to employees as necessary.
  • Maintaining equipment in a safe operating condition.

 

INP commercial services employees are responsible for:

  • Following the company’s verbal and written Occupational Health & Safety requirements, including those in the Workplace Agreement, Quality Assurance system, induction and training system, Customer Log Book.
  • Taking reasonable care to protect their own health and safety as well as the health and safety of others.
  • Co-operating with INP commercial services to ensure their work environment and work practices are safe.
  • Reporting any workplace situation which may constitute a hazard.
  • Using safety equipment provided by INP commercial services.

 

INP commercial services subcontractors are responsible for:

  • Fully training themselves and their staff in safe working practices.
  • Equipping themselves and their staff with suitable safety equipment and maintaining equipment safely.
  • Ensuring that they and their staff use safety equipment at all times to comply with appropriate regulations.
  • Fully insuring themselves and their staff against public liability and workers compensation.
  • Showing current insurance certificates to INP commercial services prior to commencing work.
  • Understanding work on behalf of INP commercial services safely, professionally and to a high standard.

 

3. Environmental Policy

INP commercial services places great emphasis on caring for the environment. INP commercial services uses non-hazardous cleaning products in its daily hygiene routines, preferring plant based products. We aim to minimise use of ammonia, sodium and phosphorus. The company observes environmental regulations for waste and waste water removal. We also strict rules about waste removal and waste water release from cleaning.

Though the use of green, bio-based cleaners, non-toxic, and low-VOC emitting materials, INP commercial services is committed to keeping our clients’ facility clean while reducing environmental pollutants. Many of our bio-based cleaners are 100 percent biodegradable and non-toxic. They contain no ozone depleting chemicals and do not appear on any list of hazardous chemicals. INP commercial services will help minimise the exposure of our clients’ property to the effects of aggressive cleaners, lower overall operational costs and enhance property values.

Our strategy for this is:

  • Work with our suppliers to gain commitment to environmentally friendly options to the normal process.
  • Ensure our staff are educated and motivated to conduct their activities in an environmentally responsible manner.
  • Use only natural products – biodegradable and non-toxic.
  • Recycle paper and equipment.
  • Reduce the amount of energy used.
  • Use disposable micron filter bags in our vacuum cleaners.
  • Use static cloths for dusting
  • Operate cleaning machinery that reduces noise emissions, dust and chemical waste.
  • Follow correct procedures for rubbish removal
  • Ensure hazardous substances are stored correctly, and
  • Recycle containers wherever possible

 

4. Quality Assurance Policy

Quality Assurance is one of the most important principle at INP commercial services. Our commitment is to provide the industry’s most efficient, consistent, reliable, cost effective, quality cleaning services that exceed our clients’ expectations and that is firmly founded on meeting the principles of Corporate Social Responsibility.

Our reputation for quality industrial cleaning services will be maintained through the hands-on involvement of all our staff from our on-site cleaners to senior management. Accordingly, all INP commercial services personnel will be actively involved in the development and implementation of our quality practices.

INP commercial services Quality Assurance System is developed, documented, implemented, and maintained in accordance with the AS/NZS ISO 9001: 2008 Standard.

INP commercial services will provide a complete assurance of quality and service to its industrial cleaning contracts which include;

  • Use of dedicated and trained cleaners
  • Understanding of quality and service expectation of the clients
  • Client feedback and report mechanisms

Quality supervision

  • Service guarantee to complete the contracts according to specifications
  • All cleaning operations are carried our according to our quality procedures. Client requirement and quality initiatives specific to the provision of cleaning services to each facility will be recognised and implemented within the first month of the commencement of the contract.
  • Regular Quality Assurance inspections will be carried out to ensure high standards are maintained and any matters of concern are discussed at the time.
  • Clients will be provided with constant information on the cleaning standards at their site without the need to walk the site from end to end. The client however, may choose to be involved in the Quality Assurance inspections for maximum communication between themselves and INP commercial services.

 

5. Training Policy

We are committed to ensuring that all our staff has received adequate training in order to be able to carry out their duties safely and without risk to themselves or others. We aim to achieve this by providing induction training for all new employees and ongoing skills training. The need for training will be determined by the requirements of the individual employee’s job role. We are constantly assess and review the development needs of our employees and actively encourage our staff, regardless of employment status, language skills and grade, to take advantage of all training opportunities available and to communicate their individual needs and requirements.

Providing adequate training to our staff is a requirement of the Health and Safety at Work Act 1974. It is also required by other more specific legislation which relates to the use of machinery, handling activities, hazardous substances and the wearing of personal protective equipment. The test of adequacy is based on providing sufficient training to ensure that employees can carry out their duties without jeopardising either their health and safety, or that of their colleagues and visitors.

The following procedures describe the steps that we will take to comply with our obligations to provide adequate training:

  • All new employees will receive induction training. This training includes Health and Safety, Quality and Environmental management and covers key areas such as fire safety, first aid and any workplace hazards. A signature will be required from the employee to confirm that they have understood the contents. A copy of this form will be kept on their personnel file.
  • This training will also be provided to other groups who will be working on our premises. This includes agency temps, work experience students and sub-contractors.

Some training is a statutory requirement, e.g. for manual handling activities. However, where this is not the case, a risk assessment and/or a Training Needs Analysis will be used to determine whether any training is necessary in order to carry out the job role safely. Other training needs will be identified by using one, or a mixture of, the following tools and is dependent upon the specific needs of the individual, team or client:

  • Performance appraisals
  • Employee development needs questionnaires
  • Key performance indicators
  • Specific task training needs analysis
  • Where an employee’s job involves the operation of tools or machinery, on-the-job training will be provided by the site or area supervisor. It is the responsibility of the employee’s manager to ensure that this is carried out. This training will also be given if an employee changes jobs
  • If new machinery or equipment is purchased, further training is likely to become necessary. If so, this will be arranged before on the new machinery etc. commences
  • If certain training is needed and it cannot be provided in-house, then the individual employee and their manager will need to identify a suitable course. Staff is expected to find the most cost-effective training available. All reasonable expenses, such as travelling will be reimbursed.

The training programs also include following instructions:

  • Safe work practices
  • Specific tasks
  • The safe operation and maintenance of equipment
  • Hazard identification and associated reporting requirements
  • Identified control measure to minimise risks
  • Safe procedures for handling hazardous substances
  • Safe manual handling practices
  • The fitting, use and maintenance of Property, Plant and Equipment
  • Accident and emergency procedures and reporting requirements.
